The individual, under the guidance of the Agile Logistics Manager provides a complete event co-ordination and planning function for less complex, small scale events.The Logistics Co-ordinator provides general event planning and co-ordination assistance to the Agile Logistics Manager.
Their primary function is to assist with the co-ordination and planning of events and all the details required to ensure that all events run smoothly and efficiently.
What you’ll be doing
The Logistics Co-ordinator will be responsible for supporting the Agile Logistics Manager as and when required, including undertaking the following tasks:
Issuing of visa letters
Ensuring all PI stationery is correct and delivered to the venue on time
Ensuring all delegates have been allocated a name badge
Manage PI T-shirt order process from beginning to end
Manage the PI Planning Event App from beginning to end
Ensure the ART rooms are set up correctly in line with RTE’s specifications
Assist attendees at the events as and when required
Ensure office and PI stationery cupboards are always stocked
Ensure efficient operation of the office and all equipment
Raising Purchase Orders and ensuring invoices get paid
Expense reports to be completed in a timely manner
Co-ordinate office events and manage relevant logistics related to these events
The individual demonstrates an understanding of the Events Management and Planning environment and stakeholder interests. The Events Co-ordinator provides efficient event management and administrative support with limited guidance. The individual displays strong orientation towards ensuring client satisfaction and service delivery. They are reliable and are able to produce a high quality of work. They have excellent verbal and written communication skills and are able to interact with a variety of internal and external stakeholders. They have excellent Word, Excel and Microsoft SharePoint skills. They display good attention to detail and are able to manage work processes. These individuals are organised and can effectively manage the many details relating to an event. They have the ability to work under pressure meeting tight deadlines. They are flexible and display the ability to multi-task.
Required Work Experience:
2 – 4 years’ work experience
At least 3 years’ Event Co-ordination experience
