Post Title: Deputy Registrar – Academic Administration Affairs

Division/Department: Registrar’s Office

Reports To: Registrar

Terms of Employment: Fixed-term Contract

Job Summary

Under the direct supervision of the Registrar, the Deputy Registrar – Academic Administration Affairs serves as the Academic Affairs unit Manager in the management and delivery of academic administration and management. The Deputy Registrar oversees and ensures effective and timeous academic administrative support on the maintenance of academic structures, student enrolment, assessment and graduation at the Polytechnic. Ensures compliance with academic policies and regulations.

Responsibilities

Key Duties Are As Follows:

1. Academic Administration

  • Oversee the administration of student records, registration, examinations, and graduation processes and ensures verification and issuance of certificates.
  • Responsible for development of institutional academic calendars.
  • Ensure compliance with academic policies, regulations, and accreditation requirements.
  • Coordinate the development, review, and implementation of academic procedures.
  • Responsible for processing of sponsorship lists and submission to NMDS.
  • Develops, implement and monitor the Registrar’s department budget.

2. Student Records Management

  • Maintain accurate student records (admissions, enrolment, grades, transcripts, graduation).
  • Supervise transcript processing, certification, and verification services.
  • Ensure data integrity within the student information system.

3. Examinations and Assessment

  • Coordinate course offerings, timetables, and exam schedules.
  • Manage the planning and execution of examinations and assessment processes.
  • Oversee results processing, publication, and students’ appeals processes.
  • Ensure confidentiality and security of all examination related materials.
  • Facilitates and coordinates external moderation of question papers, scripts and projects and liaises with stakeholders concerned.
  • Support faculty in implementing academic programs.

4. Policy Implementation and Compliance

  • Assist in developing and reviewing academic policies and regulations.
  • Monitor compliance with institutional, national, and international academic standards.
  • Provide guidance to faculties on academic governance matters.
  • Ensure compliance with institutional, national, and accreditation standards.
  • Enforce academic regulations, policies, and procedures.
  • Advise staff and students on rules regarding progression, graduation, and appeals.

5. Systems and Process Improvement

  • Lead initiatives to improve academic administrative systems and workflows.
  • Support digital transformation of academic services.
  • Prepare statistical reports on enrollment, progression, retention, and graduation rates.
  • Provide data for accreditation reviews and institutional planning.
  • Analyze data and generate reports for decision-making.

6. Stakeholder Engagement

  • Liaise with and provide guidance to Schools/ Faculties, departments, students, and external bodies on issues related to academic processes and activities.
  • Provide advisory support on academic procedures and regulations.
  • Represent the Registrar’s Office in committees and meetings as required.
  • Prepare academic reports, statistics and institutional data for Management and external bodies.

7. Staff Supervision and Development

  • Supervise administrative staff within the Academic Office unit.
  • Provide training, development, mentorship, and performance management of staff in the unit.
  • Promote a culture of professionalism and continuous improvement.

Performs such other relevant duties as may be assigned to him/her by the Supervisor. Such duties should not distort the position, relegate it or usurp duties of other offices.

Job Specification and Qualifications

  • A Bachelor’s Degree qualification in Academic/Education Administration, Business Management, Higher Education Management, or a related field with 4 years’ experience relative to the specific requirements of the position preferably in a higher education environment.

OR

  • A Masters Degree (Preferred) or Postgraduate Diploma/Honours in Academic/Education Administration, Business Management, Higher Education Management, or a related field with 3 years’ experience relative to the specific requirements of the position preferably in a higher education environment.
