POST TITLE: Data Capturer

DIVISION/DEPARTMENT: Academic Administration

REPORTS TO: Assistant Registrar Registration & Records

JOB SUMMARY

Under the supervision of the Assistant Registrar Registration & Records, The incumbent is responsible for maintaining an efficient and accurate student records entry and filing at the Lerotholi Polytechnic. He/she is also responsible for providing customer services to prospective/current students, parents and staff members.

RESPONSIBILITIES

The key duties of the post are as follows :-

  1. To assist in responding to enquiries, queries and requests from prospective/current students, staff members and other external stakeholders.
  2. To provide an accurate and efficient data input/entry, validation and retrieval service onto the prospective student applications and/or current student registration database. This includes; Application details, Student registration details, course details, withdrawals/desertion/re-admissions and programme/course changes.
  3. Work with the Student Management system for data capturing, data processing as well as produce reports
  4. To maintain the databases through monitoring, analysis and eradication of all erroneous data, to ensure accuracy and consistency.
  5. To maintain accurate student records files and devising the best records systems as well as assisting in auditing such records and their security.
  6. Assist in the production and distribution of student admissions and registration lists to other departments and relevant external authorities.
  7. Assist in the production of data reports and trend analysis on student related data for use by Senior Management and external stakeholders.
  8. Support the Assistant Registrar in planning and conducting of career guidance and open day.
  9. Provide information on students to relevant authorities for administrative purposes, while observing the information protection provisions.
  10. Ensures that all information pertaining to students is kept in strictest confidence.
  11. Depending on the need, work in other administrative units of the office of Registrar.

JOB SPECIFICATION

  • Diploma in Secretarial Studies/Office Administration & Management and two (2) years’ experience in a related field.

Or

  • Diploma in Management or Administration with two (2) years’ experience in general office management including data capturing and records management environment

KNOWLEDGE, SKILLS AND COMPETENCIES:

  • Excellent interpersonal and communication skills (oral and written)
  • Excellent record-keeping and management skills
  • Strong time management and ability to multi task
  • Data capturing
  • Ability to work in a high-pressure office environment
  • High level of confidentiality
  • Proficient in MS Office applications (Word, Excel, Access)
  • Knowledge of Database applications
  • Knowledge of Statistical Computations.
