Applications are invited from suitably qualified local candidates for the following vacant position tenable at the Ministry of Law and Justice.


DEPARTMENT: Criminal
JOB TITLE / GRADE: Criminal Information Clerk (2)
STATION: Maseru and Leribe
RESPONSIBLE TO: Criminal Processing Assistant


JOB SUMMARY

Under the general supervision of the Criminal Processing Assistant, the incumbent will be responsible for handling and organizing data, dockets, or materials efficiently, ensuring accuracy, maintaining records, and supporting operational workflows.


MAIN DUTIES

1. Opening of a Docket

  • Scans and checks the Investigating Officer’s details, duty station and district, R.C.I No., complainant’s and accused’s details.

2. Identifying the Nature of Crime

  • Differentiates the type of crime committed, for example, if the accused is a civil servant, or if it is a high-profile case or murder.
  • If it is none of the above, then the file is not received.

3. Recording of a Docket

  • Gets an assigned reference number for tracking purposes and writes it on the docket and in the docket movement diary.
  • Sends the docket to the DPP’s Office for allocation.
  • Gives the docket to the allocated Crown Counsel and registers it.
  • Takes the docket to the typing pool for issuing a Savingram of directive.
  • Writes remarks, records, and makes copies for directive and for record purposes.
  • Registers the docket and sends it to the respective police station.

4. Developing and Maintaining a Docket

  • If the docket is indicted, makes copies for all stakeholders involved in the case.
  • Sends the indictment to the High Court and awaits the trial date.
  • Opens a suspension file to keep the docket.
  • Receives roll mentioning the proceeding trials from the High Court.
  • Sends the roll to the Crown Attorney for allocation.
  • Records on appeals and trials.
  • Fills in the movement card and gives it to the allocated Crown Counsel.
  • Files the movement card for tracking the trial.
  • Manages employee discipline.

5. Dealing with Queries through Telephone

  • Attends to complaints from the accused, the police, and witnesses regarding their cases.

6. Archiving of Files

  • Receives trials and records dates of judgment and sentencing given.
  • If no appeal is lodged within six (6) weeks of sentencing, the docket is sent back to the respective police station.
  • Files indictments and records of proceedings.

JOB SPECIFICATION

  • Diploma in Records Management / Human Resources Management / Public Relations Management / Business Management with two (2) years’ experience in the Office of the DPP or any courts of law.
    OR
  • COSC plus four (4) years’ experience with a Certificate in Records Management in the Office of the DPP or any courts of law.
