We are looking for an Operations Coordinator who has a passion for consistently optimizing processes that drive operational excellence. The role is Remote only to the Raleigh/Durham, NC area. T his exciting and adventurous position would throw you right in the middle of the Cisco’s in-house creative agency fast-paced and detailed-oriented environment of Operations. Your responsibility would be to immerse and integrate yourself into all facets of Operations with focused emphasis on teamwork to ensure a smooth execution of operational initiatives and innovation .

RESPONSIBILITIES

  • Provides administrative and clerical support to Operations Team as needed including taking meeting notes/minutes, coordinating meetings, and driving progress of various operational action items.
  • Assist with tracking supplier and freelancer payments as well as reviewing and auditing Statement of Work (SOW).
  • Support Operations team with financial-related activities, cross charging, accruals and forecasting.
  • Supports Operations Team project management including project development, documentation, execution, and closeout.
  • Work closely with project leads to ensure that projects/activities meet objectives within agreed budgets and timelines. Keep open line of communication with project participants and stakeholders.
  • Develops, documents, implements and administers organization’s standard operating procedures (SOPs).
  • Oversees various operational dashboards/reports, and analyzes trends for proactive decision making.
  • Support Operations Team communications and information management strategy by drafting and sending written communication and corresponding with internal stakeholders.
  • Maintain and manage organization’s internal web presence with relevant content and help define its evolution as well as roadmap.
  • Proactively manage foreseen operational risks, identify alternate solutions and mitigate as necessary.
  • Help define the strategy of organizing and distributing files (e, g., project assets) and related project documentation internally, to stakeholders and to external users (e.g., their party entities).

Qualifications:

  • Minimum of 3+ years professional experience, preferably in an operational role at a creative agency, in-house creative team or business/entrepreneurial environment
  • Must have a bachelor’s degree from an accredited college, university or equivalent
  • Established project management and operational excellence experience
  • Ability to identify program and/or process issues and opportunities for improvement, align with senior team on solutions, and implement changes appropriately
  • Ability to learn quickly and organize, prioritize, meet deadlines, and work autonomously
  • Adaptable to changing job responsibilities and/or new project ownership
  • Excellent written and verbal communication skills; natural rapport-builder
  • Supreme attention to detail and organizational process
  • Independent thinker, team player; autonomous executor who follows up and follows through (pro-active)
  • Innate integrity and accountability
  • Experience successfully managing a broad and varied workload
  • Desire to be hands-on in an entrepreneurial fast-paced environment
  • Proven skills in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Project management tool experience a plus (e.g., Workfront, MS Project)
  • Experience with Digital Asset Management (DAM) a plus
