APPLICATIONS ARE INVITED FROM SUITABLY QUALIFIED LOCAL CANDIDATES
for the following vacant positions tenable in the Ministry of Environment and Forestry:
JOB TITLE: Clerical Assistant
GRADE: B
RESPONSIBLE TO: Registry Supervisor
LOCATION: Butha-Buthe
JOB SUMMARY
Under the general supervision of the Registry Supervisor, the Clerical Assistant is directly responsible for the distribution and safe custody of files in the Ministry by classifying and filing correspondence, controlling the file movement, safekeeping, and retrieval of files.
MAIN DUTIES
1. Classification of Files
1.1 Receives and sorts incoming mail for circulation to sectional heads for information.
1.2 Registers incoming mail and outgoing mail.
1.3 Classifies incoming mail to determine relevant action officers for their attention.
1.4 Allocates and marks folio numbers to relevant action officers for their attention.
1.5 Fills weeding and transfer record sheets to keep trace of folio transfers to other files.
1.6 Dispatches outgoing mail for delivery to their destinations to ensure timely delivery.
1.7 Maintains file index to keep record of the entire Ministry’s files for accurate filing.
2. File Movement Control
2.1 Maintains file movement card to keep track of all distributed files to different action officers.
2.2 Examines transit ladders of files to ensure that action has been taken by the relevant action officer.
3. Safe Keeping of Files
3.1 Collects on daily basis, all distributed files at the close of business to ensure their safety and further use.
3.2 Keeps proper record of all closed files for their safety and further use.
KNOWLEDGE AND SKILLS
Education and Training
• C.O.S.C/LGSE with at least a pass in English.

Only shortlisted candidates shall undergo a competency assessment facilitated by the Assessment Centre (Ministry of Public Service) or a Driver’s Assessment, where applicable.
