What you can expect

The successful candidate will provide full administrative support to the general management to ensure the smooth running of the branch. Core responsibilities will include the following:

  • Ensuring that the correct order reason is entered on the manual GRV or FOC document & correctly entered in SAP
  • Check that all required signatures for approval in accordance to the authorization policy is in place before processing
  • Check that the investment is correct in accordance to the manual FOC document
  • Processing all credits notes & FOC’s on the same day as approved
  • Ensuring all credits notes & FOC’s are processed over month end
  • Controlling all Credit note & FOC registers. FOC’s for profi updates to all customers
  • Controlling of temp invoice register. Double check all temp invoices processed to ensure accuracy as well as ensuring that the SAP invoice number appears on the temp invoice
  • Processing all investment quotes and complete process ensuring that values are aligned for quotes to invoices to credit notes to approved investments
  • Assist Sales Managers with investment documentation, sending all original agreements to the Finance office in Cape Town and any reports as required
  • Assisting customers with general quotes and handing over to CSO’s to follow up
  • Following up for all outstanding documents and information regarding investments
  • Indirect Procurement for ad-hoc items needed at branch
  • Goods receipting for PRP goods received at the branch where needed
  • Ice-boxing relevant documents to AP for all direct and indirect procurement
  • Ensuring 100% POD retrieval, follow up & escalate if needed any outstanding POD’s
  • Ensuring all filing is done 100% in an alphabetical order, upto date & files clearly labelled
  • Daily filing of all admin related documents, including delivery notes & invoices. (Run report YEC_ZDLIST21)

What we expect

  • Grade 12 / Completed Certificate or Diploma in Administration (or related) is preferred
  • Minimum of 2 years Administration experience
  • Candidate must be fluent in English (written and spoken) – Multilingualism a definite advantage
  • Computer Literacy required (MS Office & SAP)
