POST TITLE: ASSISTANT REGISTRAR – REGISTRATION AND RECORDS

REPORTS TO: DEPUTY REGISTRAR – ACADEMIC ADMIN AFFAIRS
JOB SUMMARY
Under the supervision of the Deputy Registrar-Academic Administration Affairs, the Assistant Registrar – Registration & Records and provides services that support the student enrolment process, provide support for registration of students and enforce the policies and procedures for admissions.
RESPONSIBILITIES
KEY DUTIES ARE AS FOLLOWS: –
- Creates, maintains and updates student’s database (personal and academic) to ensure that proper data is captured and stored.
- Ensures that processes to open for new applications are done timely and the application package is prepared and made available.
- Responsible for organising career guidance and student fare activities for marketing of the Polytechnic programs.
- Ensures that there is compliance with the Polytechnic Statutes and Ordinances, Acts, Policies and Regulations relating to Admissions and Registration.
- Handles student/prospective students queries and advices them on program selection.
- Maintains confidentiality, security and safety of office documents by establishing security protocols and procedures.
- Registers newly admitted and continuing students.
- Ensures distribution of student lists to relevant authorities.
- Coordinates verification of results for prospective students.
- Provides information on students to relevant authorities for administrative purposes.
- The officer shall prepare application and admission related information to be disseminated to prospective students, and provide academic advice.
- Advises, supervises and supports junior officers under his/ her supervision.
- Ensures that all information pertaining to students is kept in strictest confidence.
- Services committees of the Polytechnic such as, Acting as a Secretary of the Admissions Committee.
- The officer shall prepare applicants information for consideration by relevant authorities for admission purposes.
- Performs such other relevant duties as may be assigned to him/her by the Supervisor.
Experience
- Minimum of three (3) years work experience in an Administrative Position.
Personal attributes
- Self motivated.
- Ability to work with minimum supervision.
- Be able to work with students from different back round.
- Be willing to supervise students for activities outside of class like sport
JOB SPECIFICATION
- A Bachelor Degree in Administration or Management Sciences.
- Working experience from a tertiary institution will be an added advantage.
