JOB SUMMARY

Under the supervision of the Registry Supervisor, the Assistant Executive Officer will provide guidance in implementation of the procedures and guidelines for smooth running of Records office.

MAIN DUTIES

  • Monitors activities of records office
    Keeps closed files properly
  • Dispatched mail to the relevant officer.
  • Marks the files to action officers.
    Maintains file movement cards to keep track of all distribution of files to action officers.
  • Monitors classification and registration of correspondence.
  • Updates filing index.
  • Disposes records in accordance with procedures in practice.
  • Monitors file security
    Recalls all files from action officers.
  • Locks files in the filing cabinets.
  • Provides safety of confidential correspondence.


JOB SPECIFICATION
COSC/LGCSE PLUS Certificate in Records Management
OR

GCE with 3 years working experience
