RESPONSIBLE TO : REGISTRY SUPERVISOR
MAIN PURPOSE
To provide guidance in implementation of the procedures and guidelines for smooth running of Records office.
MAIN DUTIES
1. Monitors activities of records office
– Keeps closed files properly
– Dispatched mail to the relevant officer.
Marks the files to action officers.
– Maintains file movement cards to keep track of all distribution of files to action officers.
– Monitors classification and registration of correspondence.
– Updates filing index.
– Disposes records in accordance with procedures in practice.
2. Monitors file security
– Recalls all files from action officers.
Locks files in the filing cabinets.
– Provides safety of confidential correspondence.
JOB SPECIFICATION
Education and training
COSC/GCE plus certificate in Records Management
Working Experience
Three (3) years working experience in the field of Records Management.
