Job Purpose

  • To assess and understand the risks associated with the control and changes in the custody of assets and maintain an effective system of controls in order to reduce the overall exposure and thereby minimise the risk.
  • Responsible to ensure that Treasury, Automated Telling Machines (ATM)/Bulk Note Acceptor (BNA), Reserve Stock of Blank Forms and Duplicate keys are controlled as per laid down procedures

Key Responsibilities/Accountabilities

  • Acts as primary custodian of Treasury Cash, ATMs, BNA and Reserve Stock of Blank forms (where applicable – to be customised by jobholder).
  • Ensures that laid-down instructions for the handling and movement of treasury cash to and from tellers and Cash Centre are adhered to.
  • Ensures that reserve stock of blank forms received is recorded and signed for according to laid-down procedures.
  • Ensures that record keeping is carried out according to laid-down procedures for treasury cash and blank forms.
  • Attends to dial changes for strong rooms, as laid down
  • Orders and arrange for the clearing of surplus cash to Cash Centre.
  • Monitors cash trends and ensure cash holdings are within prescribed limits and that excesses are reported to the Regional Manager for authorisation.
  • Ensures that the branch is adequately stocked with cash and blank forms.
  • Ensures that fees are adequately recovered, where applicable.
  • Prints the trial balance, daily, and confirm that the teller HDentill report balances appear in the trial balance.
  • Ensures that the correct security procedures are adhered to when cash is moved to service centres and delivered to/collected from Cash in-Transit Company.
  • Receives notes and species from Tellers to be lodged into treasury.
  • Controls seals for bags used for cash clearances.
  • Assists with locking away of tellers and surprise checks of Tellers.
  • Ensures that all laid-down instructions regarding the handling, locking away, Time Control and security of cash are adhered to and that all keys have been signed for in the register.
  • Ensures that proper certificates are completed whenever there is a take-over of cash.
  • Ensures that tellers check the system to determine if customers qualify for pre-approved lending and make offers accordingly.
  • Oversees and ensures that walk in customers, acting on pre-approved lending confirmations are attended to.
  • Ensures that tellers authenticated customers by means of One-time-password (OTP) etc, as per laid down procedures.
  • Controls ATM/BNA keys according to laid-down instructions.
  • Adheres to laid-down instructions regarding the control, movement and take-over of cash.
  • Undertakes ATM BNA / contingency procedures.
  • Replenishes ATM/BNA cash according to laid-down instructions.
  • Ensures canisters hold sufficient cash for weekends and public holidays.
  • Monitors cash levels and clear/order cash to ensure holdings are sufficient, to meet business needs and fall within prescribed limits at all times
  • Balances the cash in ATM/BNA on a bi-weekly basis.
  • Completes and balances ATM/BNA cash specification.
  • ATM/BNA daily maintenance:
  • Ensure ATM/BNA machine are clear of cash jams and retained cards to increase uptime, as and when required.
  • Replenishes ATM/BNA stationery.
  • Ensures maximum up-time by reporting systems or technical problems to ATM/BNA Control immediately and follow up in need to ensure that corrective action is taken.
  • Ensures that the print on transaction records is legible for all ATM/BNA terminals.
  • Ensures that all ATM/BNA terminals are kept clean, externally and internally at all times.
  • ATM/BNA deposits:
  • Clears and processes ATM/BNA deposits daily according to laid-down instructions.
  • Handles irregular cheques as unpaid items.
  • Attends to deposit corrections, where required.
  • Retained ATM/Credit Cards:
  • Clears retained cards from ATMs and handles according to laid-down instructions.
  • Ascertains the reasons for cards being retained and takes corrective action i.e. card reader of ATM malfunction.
  • Attends to telephone calls and customer queries regarding ATM and BNA transactions.
  • Ensures that duty of care requirements is adhered to.
  • Reads circulars and fan-out’s daily.
  • Checks CCTV cameras daily to ensure they are functioning.
  • Checks the Branch Assets register against the assets in the branch to ensure that there are no missing items.
  • Reports
  • Ensures that the following reports are actioned according to laid-down instructions:
  • HDentill Reports
  • ATM Balance Record
  • ATM Deposit and other reports
  • Branch Assets Register (file and secure for future retrieval)
  • Identifies cross-sell and digital migration opportunities and sells products/services reactively.
  • Ensures targets are met by giving leads to the Customer Consultant.
  • Participate in tactical sales/marketing activities as required

Minimum Qualification and Experience

  • Degree in Business Commerce with 2 years banking experience.
  • Experience in branch banking, performing Enquiries, Telling and Treasury duties, as well as managing a team of frontline officers, where required
  • Has the need to focus on one task and complete it thoroughly
  • Adequate Cash handling experience.
  • Well-developed negotiation, facilitation and communication skills
  • Proficient in relevant computer applications.
  • Structured and Organised.
  • Diligent, and Conscientious.
  • Product savviness
  • Planning and organisational skills

Knowledge/Technical Skills/Expertise

  • Sound knowledge of the bank’s laid-down policies and procedures related to telling
  • Comprehensive knowledge of bank’s laid-down procedures regarding treasury, cash, blank forms and securities as related to the job.
  • Sound knowledge of the legal aspects regarding cheques and cash handling
  • Sound knowledge of the applicable device handling
  • Knowledge of the Code of Banking Practice
  • Knowledge of Managing Local Market sales principles
  • Basic knowledge of the functions of other departments within the branch.
