ADMINISTRATOR INVENTORY SUPPORT

Objective of the job:

Mercedes-Benz is looking for an Inventory Support Administrator to maintain the highest possible integrity of the Inventory Planning data and process documentation to optimise the performance of the Inventory Planning processes in compliance to the Company’s Integrity & Anti Bribery Codes, Conflict of Interest Policy & S.H.E.Q requirements and to perform delegated S.H.E.Q tasks and duties & to inform superior about deviations.

Main Tasks:

Dealer, KPI and ad hoc reports: Accurate analysis and timeous supply of reports produced as per the agreed timelines set in your goal agreement. For ad hoc requests, liaise with the requestor to understand what is required and establish deadlines for report completion. Ensure the information is accurate by conducting a sample check. Provide the report to the requestor timeously to ensure deadlines are met. Understand, manage and extract Dealer and KPI reports on a monthly basis to ensure that all the Inventory Planning Department’s deliverables are recorded against the set KPI targets. This enables Inventory Planning Management and teams to track progress and identify improvement areas.

Paragon Portal User Maintenance & Local Supplier Queries: Assist local suppliers and non-DNI dealers with queries regarding the Paragon Portal as per your goal agreement. Set up new users in the Paragon Portal timeously and provide new users with a user guide and training where required. Regularly update the contact details for Paragon Portal users. This enables Local Suppliers to access the portal to download orders, approve orders, and capture invoices and enables non-DNI dealers to access the portal to place orders and submit non-conformance claims. Provide daily Paragon Portal support to Local Suppliers by downloading orders, capturing invoices and escalating access problems to the relevant IT personnel.

System Maintenance: Ensure that demand errors are monitored and actioned daily as per your goal agreement. Match demand errors correctly to valid previous parts credits. This allows the Inventory Administrator to ensure that dealer demand for each part number is amended to the correct demand levels. Reject demand errors where there are no valid previous credits. Ensure MBZ errors are resolved and transmitted to the clearing agent timeously and accurately. Engage with the clearing agent and IT support.

Core returns and Buybacks: Execute the data extraction requirements timeously and accurately. Manage the core return invoice process for all remanufacture programs, and Cross Border and Supplier buybacks as per your goal agreement. Generate sales invoices timeously and accurately for core returns and supplier buybacks. Create Purchase orders for Cross border dealer buybacks and ensure timeous payment processing of supplier buyback invoices.

Stocking Point & Vendor Maintenance: Ensure all Stocking Point and Vendor information is maintained as per your goal agreement. Ensure all existing Stocking Point and Vendor details are updated accurately and timeously. Ensure all new Stocking Points and Vendors are set up correctly and timeously in SAP DNI. Assess and release automatic, manual, special re-deployments and RIM re-deployment requests periodically during the course of the day to ensure sufficient dealer stock coverage. Liaise with the RIM by maintaining part and dealer level constraints for all DNI dealers for parts with volumetric constraints. On a weekly basis re-deploy the relevant core returns from the dealer network to the PLC. Ensure the accurate and timeous release of scrapping picking slips for items approved for scrapping by the relevant DOA signatories.

Continuous improvement: Responsible for continuous improvement initiatives aimed at improving processes within Inventory Planning. This will include initiating and implementing efficiency ideas across SAP DNI, Paragon Portal and BW in line with your goal agreement. ISO processes within your area need to be reviewed frequently and updated where necessary. Maintain existing and new processes for the Inventory Planning Department through a process of ensuring processes are recorded and updated regularly in ARIS. Ensure that all process owners and users are familiar with the processes.

Self-development: Take personal responsibility for learning and development through a process of assessment, reflection and actioning. This can include both on and/or off the job training. This also includes the sharing of learning with the team. The Inventory Administrator is to also participate, lead or drive adhoc projects which will contribute positively to revenue and efficiencies. The Inventory Administrator is to ensure all development plans are recorded on Star Track and followed through to completion.

3 years’ experience in specialised field.

SAP knowledge will be an added advantage
