Administrator – Centre of Excellence ( P11 )

Sappi Saiccor Mill requires an Administrator to co-ordinate and provide secretarial/ Administrative functions to the Technical -Centre of Excellence Department

This role reports in to the General Manager Technical & COE

The main responsibilities of this job are:

COE Pulp Sample Coordinator

  • Ensures that competitor samples are stored and analytical database is maintaines.
  • Sample stores Administrator
  • Receives all pulp competitor samples and internal pulp samples and storing them in the pulp store and entering them into the Sample Management system.
  • Receives all sample requests, via the Sample Management System or by other means and arranges dispatches samples to requisitioner

SHEQ

  • Coordinates lab and plant inductions and responsible for record keeping
  • Draws up the housekeeping rosters/glassware disposal rosters on a yearly basis
  • Collates monthly SHEQ stats
  • Takes SHEQ meeting minutes and distributes
  • Maintains records for Sappi 25 system

Training/ skills matrix coordinator

  • Liaises with training department to find out what training courses are available and communicates with line managers,
  • Keeps a training records for all employees, updates/Maintains skills matrix .(Managers to provide training needs from skills matrix

and performance appraisal)

  • Facilitates all technical specific and mill training requirements for new employees, like plant inductions, lab specific inductions,

ICDL, telephone training, process training etc., ensures that personnel receive their training certificates

Requisitions/Notification Administrator

  • Administers/ tracks all requisitions and notifications for the department. GL accounts must be properly communicated by Managers
  • Assists with getting quotes

Reports/ Library Databases

  • Liaises with relevant libraries to obtain journal articles/books
  • Distributes monthly CAB index from PTC and orders appropriate articles
  • Ensures that all papers are saved electronically in virtual library
  • Responsible for distribution of reports/proposals/memos

Campaign Data/Process Logs/ Questionnaires

  • Downloads data daily during specialities campaigns, checks data for anomalies and assists with collating process logs
  • Assists with customer questionnaires

Administrative and Secretarial functions

  • Coordinates administration functions i.e. ordering of Stationary and PPE requirements, printing of laboratory logbooks,

arrange functions (catering, venues, travel requirements)

  • Maintenance of external analytical testing records e.g. dioxin
  • Maintenance of coffee machine
  • Manages all conference room bookings
  • Assists with typing of documents and preparation of presentations as required
  • Assists with T&A admin for department

The ideal candidate should have:

  • Matric
  • Microsoft Office competency is essential
  • Secretarial certificate
  • 2yr Secretarial/administrative and SharePoint as well as SAP competency experience is beneficial
