Purpose of Job
To provide general administrative support to the department for effective implementation of departmental work plans and daily routine work.
Main Functions
- Provide timely operational support
- Assist in activity planning
- Prepare and follow up operational work schedules
- Coordinate logistical and administrative support activities
- Maintain and improve operational systems and processes
- Prepare office communications and draft reports
- Handle operational-level communication and updates
- Assist in data collection, budgeting, and activity monitoring
Specific Responsibilities
- Support administrative operations of the Directorate
- Organize meetings, invitations, confirmations, travel, and accommodation
- Liaise with internal and external stakeholders on administrative matters
- Coordinate with departments such as HR, Finance, Procurement, and Travel
- Support budget preparation and monitoring
- Manage stationery and office supplies procurement
- Maintain staff mission, travel, and leave records
- Create and maintain confidential filing systems
- Ensure confidentiality of records and information
- Draft correspondence, reports, presentations, and briefing notes
- Support preparation and review of finance and HR documents
- Monitor implementation of decisions and prepare follow-up reports
- Prepare minutes for meetings and maintain records
- Provide communication support and manage correspondence
- Perform any other duties assigned by the supervisor
Academic Requirements and Relevant Experience
- Diploma in Business Management, Business Administration, or related field with at least 3 years of relevant experience
OR - Bachelor’s degree in a related field with at least 2 years of relevant experience
- Experience in office management is mandatory
- Experience in meeting coordination is required
- SAP experience is an added advantage

- Proficiency in Microsoft Office and AU systems
- Experience with SAP or ATS systems is an advantage
- Ability to manage multiple tasks under pressure
- Fluency in one AU working language required; another is an advantage
Tenure of Appointment
This is a regular 3-year contract, with the first 12 months as probation. Renewal is subject to performance.

Remuneration
Annual salary: US$ 15,758.00 (GSA 5 Step 1)
Plus post allowance (48%), housing allowance (US$ 16,813.44), and education allowance up to US$ 10,000 per child per year (international staff), or US$ 3,330 per child per year (local staff).
