POSITION: ADMINISTRATION OFFICER
DEPARTMENT: ADMINISTRATION
GRADE: G

RESPONSIBLE TO: ADMINISTRATION MANAGER
LOCATION: MASERU
JOB SUMMARY
Under the general supervision of the administration manager, the incumbent is responsible for supervision and co-ordination of the administration cadre and all general administrative operations of all departments, promotion of health and safety at workplace and staff development and supervision.
MAIN DUTIES
1. CO-ORDINATION OF THE ADMINISTRATION CADRE
1.1 Prepares guidelines for management of the executive and administrative cadre
1.2 Prepares accurate and up to date job profiling for the cadre
1.3 Co-ordinates with the officer responsible for the registry for proper records keeping and updating
2. DIRECTION AND CONTROLLING THE ORGANISATION’S FIXED OPERATIONAL RESOURCES
2.1 Prepares recurrent estimates annually in order to maintain the department financial needs
2.2 Supervises the preparation of financial and procurement reports for compliance with established financial guidelines
2.3 Provides direction and supervision of safe and current operations in the area of grounds and buildings cleanliness and upkeep
2.4 Directs assessments / inspection of assets so as to propose effective cost system
2.5 Controls and directs implementation of administration policies and programmes
3. SUPERVISION OF STAFF
3.1 Checks the work of subordinates periodically to evaluate their performance on stated objectives
3.2 Appraises subordinates timorously to monitor progress
3.3 Oversees development and utilization of administrative staff to ensure accomplishment of set objectives
4. PROMOTION OF HEALTH AND SAFETY
4.1 Assist in ensuring that there is adequate supply of portable clean water, sanitary convenience for the staff and office cleanliness
4.2 Assist in the provision of adequate office to ensure that there is no overcrowding and there is proper ventilation and light
4.3 Assist in ensuring safe and habitable office space through maintenance of both equipment and offices
4.4 Ensure that DMA meets all health and safety requirements
EDUCATION AND TRAINING
Masters in Public Administration / Management or any other relevant Social Sciences plus two (2) years’ experience in Administration Management
OR
Post Graduate in Public Administration / Management or any other relevant Social Sciences plus three (3) years’ experience in Administration Management
OR
BA in Public Administration, Management or any relevant Social Sciences plus three (3) years’ experience in Administration Management
OTHER RELEVANT KNOWLEDGE / COMPETENCIES
