Position Details

Title: Administration Officer

Job Summary (Here you highlight the responsibilities expected to be performed

Under the supervision of Administration Manager, Administration Officer will work closely with the Administration Manager, and others in the Administrative team to support the technical and operation teams of the work of the Foundation.

Roles and Responsibilities

·       Be responsible to ensure proper administration of all telecommunication services.

·       Maintain and manage airtime and data contracts for all deserving staff members.

·       Work closely with the HR Office for termination of airtime and data contracts for departing officers.

·       Work closely with IT Office, for data sim cleaning on monthly basis.

·       Request on GPS for entire Operations department.

·       Prepare and submit quarterly reconciliation on telephone / cellphone bills as per telephone management plan guidelines.

·       Supervise daily operations of Reception and Clerical Assistance.

·       Coordinate functions and responsibilities of Disposal Committee.

·       Performs disposal of obsolete and damaged furniture and equipment bi-annually.

·       Ensure safety and security of the building and assets.

·       Oversee the use and maintenance of the office equipment to ensure that they are in working conditions and arrange for repairs and servicing as necessary.

·       Ensure adherence to set stock levels by supervising maintenance of agreed re-order levels and procedures.

·       Prepare monthly performance report of office supplies.

Knowledge, Skills and Abilities

·       Degree in Business / Public Administration

·       A proven record of practical attachment during field of study.

·       Be fluent in English

·       Computer skills: must have a thorough understanding of MS Office applications to complete routine/moderately complex stores records.

·       Analytical skills: must be able to assess moderately complex information from multiple sources and draw logical conclusions

·       Interpersonal skills: be able to establish and preserve productive partnerships with clients by gaining their trust and respect, as well as nurture an effective working relationship with all stakeholders in property management cycle.

·       Organizational skills: must be able to plan, prioritize, and manage their own
