Data.FI Lesotho – Administration Assistant

Project Overview and Role:

Translating Data for Implementation (Data.FI) is a global project funded by the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR) through the U.S. Agency for International Development (USAID) to support the HIV and COVID-19 response. Data.FI partners with programs to accelerate and sustain access to high-quality data to expedite HIV and COVID-19 epidemic control and maintenance. By improving global, regional, national, and community/local in-depth analyses of HIV and COVID-19 epidemiologic and programmatic data, Data.FI expedites program achievements to improve client services and attain and sustain control of the epidemics. Data.FI supports host country governments to enhance existing health information systems (HIS), informing management responses to gaps in programming and sustaining impact by supporting local partner transition. 

 Primary Duties and Responsibilities: 

Palladium is seeking an Administration Assistant to support Data.FI Lesotho. The position will be based in Maseru, Lesotho and will work in close collaboration with the Project Management Unit (PMU) at Palladium’s headquarters in Washington, DC.   

General Administrative Support:

  • Provide administrative support to ensure efficient operation of the office.
  • Assist in the organization and maintenance of files, records, and documents.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.

Calendar Management:

  • Manage and maintain executives’ schedules, appointments, and meetings.
  • Coordinate travel arrangements and accommodations for staff members as needed.
  • Schedule and organize meetings, including preparing agendas and taking minutes when required.

Communication:

  • Serve as the first point of contact for visitors and callers, providing a professional and courteous reception.
  • Assist in drafting and editing correspondence, reports, and presentations as needed.
  • Facilitate communication between departments and ensure timely dissemination of information.

Data Entry and Recordkeeping:

  • Accurately input data into various databases and spreadsheets.
  • Maintain and update records, including contact lists, inventory, and office supplies.
  • Generate reports and prepare documents as requested by management.

Office Management:

  • Monitor and order office supplies, ensuring adequate stock levels at all times.
  • Coordinate office maintenance and repairs, liaising with vendors and service providers as necessary.
  • Assist in the organization of office events and meetings, including setting up conference rooms and arranging catering.

Assistance to Senior Management:

  • Provide administrative support to senior executives as required.
  • Assist in preparing presentations, reports, and other materials for meetings and presentations.
  • Handle confidential information with discretion and maintain confidentiality at all times.

 Required Qualifications:

High school diploma or equivalent. Additional qualification as an Administrative Assistant or Previous secretary experience is a plus.
