Administration Assistant

What you can expect

The administration assistant will provide full admin support to the general management to ensure the smooth running of the branch. Core responsibilities will include:

  • Goods receipting for PRP goods received at the branch where needed
  • Ice-boxing relevant documents to AP for all direct and indirect procurement
  • Issuing stock for demo’s, training & mixing room where needed
  • Ensuring 100% POD retrieval, follow up & escalate if needed any outstanding POD’s
  • Ensuring all filing is done in an alphabetical order, that all filing is 100% up to date & files clearly labelled
  • Sending all documents required with SWE
  • Ensuring that the G4S register is kept up to date
  • Sending bank batch register to Credit controllers (Except for Parow & PE where the Credit controller is on site.)
  • Consolidating BMW delivery notes for month end sending to BMW. (Toyota – Durban included)
  • All relevant reports completed on time with excellent quality
  • Responsible for improved processes & procedures within area of responsibility
  • Involvement with all inventory counts
  • Controlling of Temp invoice register
  • Double check all temp invoices processed to ensure accuracy as well as ensuring that the SAP invoice number appears on the temp invoice
  • Ensuring that the correct order reason is entered on the manual GRV or FOC document and correctly entered in SAP
  • Check that all required signatures for approval in accordance to the authorization policy is in place before processing

What we expect

  • Completed Grade 12 qualification
  • Experience in Administration for at least 2 years
  • Candidate must be fluent in English (written and spoken)
  • Computer Literacy required (MS Office & SAP)
