Admin Coordinator
Position Details
- Location: Remote (Global – Global South preferred)
- Type: Independent Contractor (Full‑time equivalent)
- Duration: 1 June 2026 – 31 May 2027 (12 months, renewable)
- Time Zones: Flexible (with scheduled global coordination calls)
- Compensation: USD $1,500 – $2,500 per month

About the Role
The Admin Coordinator provides day‑to‑day administrative and coordination support to the Movement Secretariat.
The role involves managing schedules, communication, logistics, and documentation across a globally distributed team, requiring strong organisation, discretion, and multitasking skills.
Reporting and Collaboration
- Reports to: Project Lead / Community and Partnerships Director
- Works closely with: Operations Director, Secretariat team, Executive Leadership, Global Council
Key Responsibilities
Scheduling and Coordination
- Manage scheduling for meetings, councils, committees, and external engagements
- Coordinate across multiple time zones
- Maintain Secretariat calendars
- Track and follow up on meeting action items
Communications and Documentation
- Draft and manage internal and external correspondence
- Maintain organised filing systems for key documents and contracts
- Prepare agendas, reports, and briefing materials
- Support presentations and communication outputs
- Ensure smooth information flow across the Secretariat
Travel and Event Logistics
- Coordinate travel arrangements and logistics
- Support event organisation (registrations, accommodation, scheduling)
- Manage logistics for leadership engagements
Systems and Platform Support
- Maintain administrative tools (Google Workspace, Slack, Zoom, etc.)
- Organise shared drives, folders, and file naming systems
- Support virtual meeting setup and technical coordination
Required Qualifications
- Experience coordinating scheduling, logistics, and communications in distributed teams
- High level of discretion and professional judgment
- Strong organisational and multitasking skills
- Clear written and verbal communication in English
- Proficiency in digital collaboration tools (Google Workspace, Slack, Zoom, etc.)
- Ability to work independently and manage responsibilities proactively
- Alignment with Global Artivism values and mission
Preferred Qualifications
- Experience supporting leadership in international non‑profits or civil society
- Experience working with global, multicultural teams
- Multilingual ability (especially Global South languages)
- Familiarity with arts, culture, or activism sectors
Work Arrangement
- Flexible schedule set by the contractor
- Participation required in scheduled meetings across time zones
- Contractor responsible for taxes, insurance, and compliance
